Closeout is lost by the item nobody wrote down in month one. This playbook reads the spec and contract at the start of the job and lists every deliverable between substantial completion and final payment.
What you get
- One row per deliverable – A section that asks for an O&M manual, a two-year warranty and attic stock gives three rows.
- Specific names – “Warranty – roofing membrane, 10 years, manufacturer and installer”, not “warranty”.
- Reference and category – The exact spec section or contract clause, and the category.
- Responsible and due – The trade or supplier that owes it, and when, per the contract.
- Contractor items – Occupancy permit and final inspections, keys and access, commissioning reports, final cleaning and demobilization.
How it works
- The agent finds the Division 01 closeout, training and cleaning sections and the contract’s substantial completion, holdback and final payment clauses.
- It sweeps every technical section’s Part 1 for O&M data, warranties, record documents, spare parts, extra stock and training.
- It builds the log, then checks every section with a closeout article appears at least once.
- It reports the total, the count by category, the longest-lead items and the sections that were silent on closeout.
Try asking
- Build a closeout log from the spec. What do we owe before substantial completion?
- List every warranty in the spec with its duration and who provides it.
- Which sections call for attic stock or spare parts, and how much?
